Setting up Tellbrief at your firm
Your firm gets one link. It goes in the places new clients already pass through, and the brief comes back to your dashboard. Most firms do the first two places on the setup call, in about 10 minutes.
Your dashboard has the exact wording for each place, with your link in it, ready to copy. Menus below are as of October 2026 and can move. If you can’t find one, tell us and we’ll find it with you.
1. Your booking confirmation and reminder
This one sends itself: every client who books a first call gets the link without anyone remembering to send it. Copy the “booking confirmation” line from your dashboard.
Calendly
- Open the event type you use for first calls and choose Edit.
- Find the email confirmation (and reminder, if you use one) under the event’s notifications, and add the line.
- If your plan doesn’t let you change the email, add the line to the event’s description instead, which clients see when they book.
Acuity Scheduling
- Go to Client Emails and open the Booking Confirmation template.
- Add the line, and save. Do the same in the reminder template.
- You can also show it on the page clients see right after booking: Appointment types → Edit → Show a message after scheduling.
Acuity doesn’t allow changes to these emails on trial or legacy free plans.
Any other booking tool or calendar
- Look for the confirmation email, the reminder or the event description, and add the line there.
- If clients book by email with your assistant, add it to the confirmation they send.
2. Your reply to a new inquiry
Copy the “message to a new client” from your dashboard. It explains what the questions are for and that nothing reaches you until they send it. Save it as a reusable reply, so it takes one click.
Gmail
- Turn on templates: Settings → See all settings → Advanced → Templates → Enable.
- Write a new email with the message, then choose ⋮ → Templates → Save draft as template.
Outlook, or a shared intake inbox
- Save the message as a template or quick reply, or keep it in your intake checklist for whoever answers new inquiries.
3. Your website
The dashboard has a short offer for your contact or services page: founders get a free brief to keep, and the ones who send it to you come with the names ready for a conflict check. There are two ways to add it.
The simple way: a button, on any website
- Add a button or link that says “Get your free brief”.
- Link it to your Tellbrief link.
- Put a sentence above it, such as “Starting or growing a business? Answer some questions and get a free brief before we talk.”
The full block, if your site takes HTML
- Squarespace: add a Code block and paste the block from your dashboard. Some plans limit what code blocks can hold; the simple button works on every plan.
- Wix: Add Elements → Embed Code → Embed HTML, then paste it.
- WordPress: add a Custom HTML block and paste it.
- Anyone who edits your site can do it: send them the block from your dashboard.
4. Your email signature
Copy the signature line from your dashboard.
Gmail
- Settings → See all settings → General → Signature.
- Add the line to your signature, and save at the bottom of the page.
Outlook
- Settings → Signatures (in Outlook on the web it’s under Account or Mail, depending on the version).
- Add the line, and save.
After the brief arrives
Nothing connects to your other software directly, on purpose: client details go only where you paste them.
- Conflict check: on the dashboard, “Copy names” gives you every name, one per line, to paste into your conflict search. Then Clear or Decline.
- Matter file: on the brief, “Save a PDF for the matter file” names the file for the matter. Tellbrief deletes your copy 14 days after it reached you, so save it if you want to keep it.
- Notes or calendar: “Copy a summary for your notes” gives a few lines to paste into your case management, CRM or the calendar event for the call.
- Before the call: print the one-page call sheet, and send the client the document request.
- After the call: under “How did it go?”, record the minutes it saved and whether they hired you. That’s what fills your pilot report.
